Getting Started – Stock Inbounding (China 3PL)

This guide explains how to send your products to the Wefulfil China warehouse and ensure they are correctly received, checked, and stocked into your private inventory.

Wefulfil uses a barcode-based inbounding system, which guarantees accuracy in:

  • SKU identification
  • Quantity counting
  • Order picking
  • Inventory updates

Following the steps below will help your inbound stock move smoothly and efficiently.

1. Step One – Create a China 3PL Inbound Request

Before shipping your goods to our warehouse, you must create an inbound request in your Wefulfil Dashboard.

How to create the request

  1. Log Into/Sign Up your Wefulfil account.(https://app.wefulfil.com.au/login
  2. On the left menu, go to: My Private Inventory → China 3PL Requests
  1. Click Create New Request.
  1. Fill in product details: Product Name SKU Quantity Upload product images (per SKU) Barcode Number (optional; if you have your own custom barcodes) Estimated Stock Arrival Time
  2. Add factory information: Factory Name (Chinese preferred) Contact Person Contact Number

This factory information helps our warehouse quickly verify details and resolve any inbound issues without delays.

Why this step matters

Creating the inbound request before shipping ensures our warehouse knows exactly what to expect and can prepare space and manpower accordingly.

2. Step Two – Download and Send Labels to Your Supplier

Once your inbound request is created, the system will automatically generate:

  • Product Labels (Barcode Labels)
  • Shipping Mark (Carton Label)

You must download both files and send them to your factory.

2.1 Product Label (Barcode)

Each SKU has a unique barcode generated by your inbound request.

These barcodes are used for:

  • Receiving
  • Counting
  • Shelving
  • Order picking
  • Quality checks

Requirements:

  • Every product must have a barcode
  • If you use your own barcode, you may enter it during request creation
  • Barcodes must be printed clearly and attached correctly

Missing or incorrect barcodes will cause: ✔ Receiving delays ✔ Counting errors ✔ Wrong-product shipping ✔ Inventory mismatch issues

2.2 Shipping Mark (Carton Label)

The Shipping Mark identifies the entire inbound shipment.

Your factory must:

  • Print the carton label
  • Affix it to each outer carton
  • Ensure the label is visible and not covered by tape

Why this is important

Our warehouse receives a large number of inbound shipments each day.

A clear Shipping Mark allows our team to:

  • Quickly identify incoming cartons
  • Match them to your inbound request
  • Accelerate the receiving and shelving process

Missing Shipping Marks may result in: ❌ Delayed receiving ❌ Mis-sorting ❌ Lost cartons ❌ Inbound errors

3. Step Three – Add Domestic Tracking and Monitor Arrival

After your factory ships out the goods, you must update your inbound request with the domestic tracking number.

How to update tracking:

  1. Return to China 3PL Requests
  1. Find your inbound request
  1. Click Add Domestic Tracking
  1. Enter: Tracking Number Shipping Provider
  1. Click Save.

This allows Wefulfil’s warehouse team to:

  • Monitor the shipment
  • Prepare for incoming cartons
  • Receive your goods faster and more accurately

Monitoring your inbound progress

Within the same page, you can track:

  • Status (Open, Received, Completed)
  • Estimated Arrival Time
  • SKU-level updates

If anything looks incorrect or delayed, your AM is always available to assist.

4. What Happens After Your Goods Arrive at Wefulfil

Once the shipment reaches our China warehouse:

Our warehouse will:

✔ Scan Shipping Mark

✔ Verify carton contents

✔ Scan barcodes for each SKU

✔ Count and update quantities

✔ Report issues (if any)

✔ Complete shelving and update inventory

Inbound will be marked as:

  • Completed → fully stocked
  • Partial → if missing cartons
  • Exception → if barcode or product issues occur

You can see all updates directly in your dashboard.

5. Common Mistakes to Avoid

To ensure smooth inbounding, please avoid:

❌ Shipping products without barcodes

❌ Missing carton labels

❌ Shipping different SKUs mixed in the same polybag

❌ Wrong or unclear inbound quantities

❌ Forgotten tracking numbers

❌ Last-minute factory changes without updating the request

These issues often lead to:

  • Receiving delays
  • Inventory inaccuracies
  • Higher operational risk
  • Order fulfillment errors
